The Implementation Program

The Zoey Implementation Program is broken down into 10 learning and setup modules. Most modules consist of Learning, to be done at your convenience and Assignments that are pre-requisite to the weekly scheduled Live Sessions with your Implementation Specialist.

Within each Module are "Live Session" agendas which may be completed concurrently or consecutively at your weekly recurring Zoom meeting time. Depending on the complexity of your data, business requirements, availability, or ability to complete on your own, the modules and Live Sessions may be accelerated or prolonged.

Welcome

LEARNING:

Module 1: Products

Module 2: Customer Portal Setup

LEARNING:

  • Customer Portal Setup
  • Customer Registration
  • Login as customer
  • Options for Theme/Customer Experience Build (DIY vs. Partner)
  • Theme Training (VDE)
  • Setup Shopping Experiences
  • Translations

ASSIGNMENTS:

  • Configure your Customer Portal & Build your Homepage
  • Submit a list of changes to the customer experience

LIVE SESSIONS: (1-2x 60min sessions)

  • Review Customer Portal Configuration and Design Questions
  • Review change requests & finalize customer experience

Module 3: Customers

LEARNING:

  • When do I Import Customers?
  • What are Accounts & Customers?
  • Customer Groups
  • Customers Template and Requirements
  • Accounts Template and Requirements
  • Assigning Net Terms to Accounts or Customers
  • Linking Sales Reps to Accounts or Customers (Optional - must be done after Sales Reps are added to Zoey)

ASSIGNMENTS:

  • Populate Zoey customer data import template
  • Ensure your customer data has been reviewed and is accurate/consistent
  • Submit Customer Data for Review.

LIVE SESSION: (30min)

  • Review Customer Data, Customer Groups and Importing.

Module 4: Shipping & Payment

LEARNING:

  • How is Shipping Charged on my Orders?
  • Setting up Shipping Rates
  • How do we handle Payments?
  • Setting up Payment Methods
  • Checkout Settings
  • Order Attributes
  • Shipping/Payment Method Restrictions (Optional)
  • Tax and Discounts (Optional)

ASSIGNMENT:

  • Submit form for Payment, Shipping, Tax and Discount Setup

  • Live/Negotiated API Rates from your UPS, USPS, or FedEx account
  • Flat/Table Rates based on Weight, Order Subtotal or # of Items
  • Free/Zero Charge or Custom Shipping Rates
  • FTL/LTL Calculated Rates via ShipperHQ.com (additional cost)

Supported Payment Methods

Credit Card processing with Zoey is done via Authorize.net, Stripe or PayPal. You must have an account with one of these payment processors to accept Credit Cards.

ACH is accepted only via Stripe.

Saved Credit Cards are supported with Authorize.net and Stripe

Module 5: Emails & PDFs

Module 6: Sales Quotes and Drafts (Optional)

Module 7: Processing Orders

LEARNING:

  • Overview of Zoey Basic Order Workflows
  • Creating an Order in the Admin
  • Order Attributes
  • Shipping & Invoicing
  • Collecting Deposits
  • Credit Memo, Returns and Refunds
  • Editing/Canceling Orders
  • Editing Incremental Order Numbers

ASSIGNMENT:

  • Submit the Order Settings Form
  • Complete Basic Order tasks and fill-out checklist.
  • Provide any feedback prior to the Live Session.

LIVE SESSION: (30min)

  • Order Processing training
  • Discussion of 3rd Party Integrations that will interact with the order process (see Module 8)

Module 8: 3rd Party Integrations (Optional)

For this Module, Zoey can assist with the basic connection of supported 3rd party software.

The below list of integrations can typically be completed quickly (~30min):

  • Quickbooks Online
  • Quickbooks Desktop (via Connex)
  • ShipStation
  • Finale Inventory
  • SKU Vault
  • Live Chat (or other Chat software)
  • Google Sheet Product Importer
